As an OTECH employee, what do I need to know?
What does it mean to be a “Mandatory Reporter”?

All OTech employees are considered “mandatory reporters” and must report complaints related to sexual assault, misconduct, discrimination, and/or harassment to the Title IX Coordinator.

You have 24 hours from learning of the incident to report it to the Title IX Coordinator. You may make your report in person, by calling 801-627-8416, or emailing the Title IX Coordinator at titleix@otech.edu.

What to Do if Someone Shares a Reportable Incident

1. Pause the conversation

    • Gently stop the person.
    • Let them know you are a mandatory reporter.
    • Explain that anything they share must be reported to the Title IX Coordinator.

 

2. Report What You Heard

  • Even if they stop talking, you must report what was already shared.
  • You do not need full details—Title IX will follow up directly to avoid them repeating their story.

 

3. Connect them to the Title IX Office

  • Offer to walk them to the office, if appropriate.
  • The Title IX Coordinator can check for immediate safety or counseling needs.

 

Special Instructions for Incidents Involving Minors

  • If you suspect sexual harassment or abuse involving a minor, you must report it immediately to the local police, as required by Utah Code § 62A‑4a‑403
  • After contacting police, notify the Title IX Coordinator and your supervisor that the report has been made.

 

If the Disclosure Happens by Email

  • Reply to the student and explain you are a mandatory reporter.
  • CC the Title IX Office on the email. Include:
    • Names of involved individuals
    • Student ID numbers (if available)

 

Once you’ve sent this email, your reporting requirement is complete, and the student can continue the conversation with the Title IX Office.

How to Respond to a Student’s Email and Notify the Title IX Coordinator

1. Reply to the student

  • Acknowledge their message.
  • Tell them you are a mandatory reporter.
  • Keep it brief and supportive.

 

2. CC the Title IX Coordinator

  • Add titleix@otech.edu to the CC line.
  • Include:
    • When you received the report
    • What the student shared (in brief)
    • Your response to them

 

Once CC’d, your reporting duty is fulfilled.

Thank you for confiding in me. I want you to know that I am a mandatory reporter, which means I must share any concerns about sexual harassment, sexual misconduct, relationship or domestic violence, stalking, discrimination, harassment, or retaliation with the Title IX Coordinator.


Although I am here to support you, the Title IX Office will handle next steps and provide support services.


The Title IX Coordinator will contact you soon to offer resources and assistance. I encourage you to connect with them—they can help you access the support you may need.

How to Report an Incident as a Mandatory Reporter

1. Provide basic information

  • Share the names of the people involved
  • Include student ID numbers if you have them.

 

2. Email the report to the Title IX Coordinator
You may:

  • Forward the student’s original email
  • Add brief notes from your conversation
  • Attach any relevant documents or screenshots

 

3. Tell the student you must report

  • Let them know you are a mandatory reporter.
  • Explain that the Title IX Coordinator will follow up with them directly.

 

4. The Title IX Coordinator will confirm your report

  • They will reply to acknowledge your email.
  • They may ask for more information—if not, your reporting duty is complete.

 

5. Title IX will contact the student

  • The Coordinator will reach out to offer support and resources
When Can Staff or Faculty Report a Concern Anonymously?

Staff and faculty may report Title IX or Title VII concerns anonymously when reporting about their own experience.


However, you cannot remain anonymous if you are making a report as a mandatory reporter.


Please note that anonymous reports may limit OTech’s ability to fully investigate the situation or provide needed support.
